If you’re a behind-the-scenes service provider, Integrator, VA, OBM, or project manager, chances are you’ve said this before: “I just don’t have enough time.”
I’ve said it too.
But over the years, both in my own business and while supporting visionary entrepreneurs behind the scenes, I’ve realized that most of the time, it’s not actually a time issue.
It’s usually a:
- Prioritization issue
- Systems issue
- Boundaries issue
- Or energy issue
And if you’re building an Integrator business, this conversation matters deeply because our role is to create flow, operational efficiency, and aligned action — not just for our clients, but for ourselves too.
So let’s talk about what’s really creating the overwhelm and how to build a business that supports your life instead of consuming it.
The Problem Usually Isn’t Time
One of the biggest mindset shifts I had to make was realizing that more time probably wasn’t the answer.
Because if we don’t know:
- What actually matters
- What creates results
- What should be eliminated
- And what’s simply noise
…then we’ll just fill any extra time with more busy work.
I see this constantly with service providers:
- Checking Slack every five minutes
- Reorganizing systems repeatedly
- Tweaking Canva graphics
- Consuming endless content
- Responding to notifications immediately
- Adjusting offers over and over again
At the end of the week, you feel exhausted… but nothing meaningful actually moved forward.
That’s the difference between activity and impact.
As Integrators, we have to get really good at asking: “What is the highest impact action I can take right now?”
Not:
- What feels easiest
- What makes me feel productive
- Or what helps me avoid discomfort
The goal isn’t to do more. The goal is to do the right things.
Busy Isn’t the Goal
This is why I talk so much about aligned action.
You do not need:
- More tasks
- More offers
- More clients
- Or more hours
You need more clarity.
So many people operate from motion instead of intention.
They stay busy because being busy feels productive.
But there’s a huge difference between moving your business forward
and reacting to things all day long.
When you’re intentional:
- You know your priorities
- You know your role
- You know what matters
- And you know what can wait
That changes everything.
Time Management Is Really Energy Management
This realization completely changed the way I work.
Because the truth is, tiime management is really energy management.
Pay attention to:
- What energizes you
- What drains you
- What creates momentum
- What makes you feel heavy
The work you’re meant to be doing will usually energize you.
Recently, I spent hours building trainings and systems for the Integrator Accelerator. I got more done in a few days than I sometimes accomplish in weeks.
Why?
Because I’m deeply aligned with it.
It feels meaningful. It creates energy instead of draining it.
Meanwhile, there are other tasks that completely exhaust me.
That’s valuable data.
Instead of constantly forcing yourself into productivity hacks, ask: “What work actually puts me into flow?”
Because when you’re aligned, work feels very different.
Your Environment Matters More Than You Think
Another thing I’ve learned is that productivity is deeply connected to your environment.
For example, when I need highly focused work time, I’ll often go to a coffee shop because that environment works really well for my brain.
Other people may need:
- Silence
- Music
- Morning work blocks
- Night work blocks
- Batching days
- Or total flexibility
There’s no “correct” way to structure your business.
The goal is awareness.
When you understand how you work best, you can build around it instead of constantly fighting against yourself.
This is why I always say, build a business around your life, not a life around your business.
Systems Outside the Business Matter Too
This one is huge.
Sometimes when people say they don’t have enough time, the issue has nothing to do with their business. It’s their personal life systems.
As behind-the-scenes people, we’re often great at building systems for clients while our own lives feel chaotic.
I realized this after moving from a home with three acres into an apartment.
Suddenly, I wasn’t maintaining property, managing constant upkeep, or spending mental energy on endless house projects. I realized how much capacity I gained back.
Again, I’m not saying everyone needs to move. But I am saying your personal systems matter.
Things like:
- Grocery delivery
- Childcare support
- Cleaning help
- Meal prep systems
- Reducing decision fatigue
All of those things impact your ability to lead well.
One of the signs that you’re growing is realizing, “I need support.”
That isn’t failure. That’s growth.

Stop Operating in Reaction Mode
One of the fastest ways to feel overwhelmed is constantly reacting.
That’s where systems and structure become essential.
For example, I try to schedule most of my client meetings on Mondays.
Why?
Because then I know:
- Monday = meetings
- The rest of the week = deep work, planning, strategy, SOPs, and implementation
That structure reduces:
- Context switching
- Mental load
- Decision fatigue
This is exactly what we help our clients create as Integrators, but we need to create it for ourselves too.
The Goal Isn’t to Fill Every Hour
I think sometimes people assume productivity means:
- Maximizing every second
- Time blocking every hour
- Packing the calendar
But honestly?
The longer I’ve done this work, the more I’ve moved into flow.
I don’t obsess over every minute anymore.
I’ve simply learned:
- How I work best
- What my clients need
- What matters most
- And what creates results
That’s one of the biggest benefits of the 2–3 client Integrator model.
When you’re working in long-term strategic partnerships instead of juggling endless small clients, you create space.
Space for:
- Deep work
- Strategic thinking
- Creativity
- Flow
- And sustainability
And that changes everything.
The Real Question to Ask Yourself
So if you’ve been telling yourself: “I just don’t have enough time.”
Pause and ask:
- Is this actually a time issue?
- Or is it a prioritization issue?
- A systems issue?
- A boundaries issue?
- Or an energy issue?
Because most of the time, the answer isn’t working more.
It’s creating more alignment.
